1. Overview
Executive Scheduling is a private, B2B infrastructure tool deployed by authorized corporate administrators for scheduling coordination, meeting verification, and meeting-notetaker workflows. This Privacy Policy explains how Executive Scheduling handles information used to provide those services.
2. Information We Process
We process information required to operate the service, including authorized administrator account details, scheduling configuration, meeting metadata, integration status, and operational records needed to verify and support scheduling workflows.
3. Google Calendar Data
With explicit authorization, Executive Scheduling uses read-only Google Calendar access to perform scheduling-conflict checks. The service uses Google Calendar free/busy availability and does not read event contents, titles, descriptions, or attendee lists for this check.
4. Limited Use
Executive Scheduling's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data (free/busy availability) is used solely for scheduling-conflict checks and is never transferred to, or processed by, any third-party AI/ML service, nor used to train AI/ML models.
5. Data Protection & Security
We safeguard sensitive data, including data obtained from Google APIs, using industry-standard measures:
- Encryption in transit: all data exchanged between your browser, Google's APIs, and our servers is protected with TLS 1.2 or higher.
- Encryption at rest: OAuth token values are stored in AWS Systems Manager Parameter Store as SecureString parameters; client records store only parameter references. Other operational records are stored in AWS-managed infrastructure with encryption at rest.
- Access controls: OAuth tokens are accessed only by authorized service processes using restricted IAM permissions; there is no routine human access.
- Data minimization: we request read-only Google Calendar access and use it only to call Google Calendar free/busy checks for scheduling-conflict validation. We do not read event contents, titles, descriptions, or attendee lists for this check.
- Retention: OAuth tokens are retained while the calendar integration remains connected or as needed to provide the integration. Users may revoke access in their Google Account or request deletion from Executive Scheduling. Free/busy responses are used transiently for conflict checks and are not persisted; we store only booking health status, reason, and count-level outcome metadata.
- No sale or training use: no sale of data, no advertising use, and no use of Google user data for AI/ML model training.
